How We Work With Healthcare Facilities

The cleaning service process for a medical office should be more deliberate than the process for a general commercial space, because the consequences of getting it wrong are different. Here is how we structure the engagement from first contact to ongoing service.

Initial Consultation

You contact us by phone at (866) 958-8773 or through the quote form. We collect basic facility information — type, square footage, room count, frequency — and schedule a walkthrough or detailed phone consultation. Response to every inquiry is guaranteed by the next business day.

Written Scope of Work

We produce a written scope of work specific to your facility. This document lists every surface to be cleaned, the cleaning products to be used, dwell times for disinfectants where applicable, the cleaning sequence, and the scheduled frequency. This document is signed by both parties and forms the basis of the service agreement. No verbal commitments, no scope drift.

Crew Assignment

We assign a named crew to your facility before the first service visit. You receive the contact name for your crew lead. Where scheduling allows, the same crew services your facility each visit. New crew members are introduced to facility management before their first independent visit.

First Clean

The first service visit is supervised. A crew lead or account contact walks the facility on completion of the first clean to confirm scope adherence. Any adjustments to the scope based on facility conditions are documented and reflected in a revised agreement if they affect pricing.

30-Day Check-In

At 30 days, we schedule a brief review with the facility contact — five to ten minutes by phone or in person. We confirm scope adherence, discuss any issues that arose, and adjust the schedule or protocol if needed. This check-in is built into every contract and happens without the client needing to request it.

Ongoing Service

After the 30-day check-in, service continues on the agreed schedule. Schedule changes, scope additions, and one-off requests are handled through a single point of contact. We do not route facility-specific issues through a general customer service line.

What happens when something goes wrong

A missed area, a scheduling failure, or a crew issue will eventually happen in any long-term service relationship. Our protocol: you contact your named account point directly, not a general inbox. We assess within one business day and either correct the issue on the next scheduled visit or dispatch a crew earlier if the situation requires it. Patterns of failure are addressed at the crew assignment level, not managed with apologies.
